Moving from on-premises Exchange and file servers into Microsoft 365 — mailboxes, shares, public folders, the lot — without breaking a working day.

What this is

On paper, migrating to Microsoft 365 looks straightforward — point a tool at your Exchange server, click Start, drink coffee, done. In practice, the parts that take time are the ones nobody mentions in the brochure. Public folders that nobody remembers creating but everyone depends on. Distribution lists with twenty years of nested membership. Shared mailboxes that were really just an alias somebody added in 2012. A finance team that lives in a network drive nobody documented.

Microsoft offers three migration paths — cutover for small environments, staged for medium ones, and hybrid for everything serious. Most of our work uses hybrid because it lets users keep working in both worlds during the move, and that's almost always what business teams need.

We don't bring proprietary migration tools. We use what Microsoft built — Exchange hybrid configuration, Microsoft 365 migration endpoints, SharePoint Migration Tool, Mover for file shares. They work well, they're free, and your team can keep using them after we leave.

What you'll get

Every mailbox, shared mailbox, public folder, and distribution list moved to Exchange Online — with mail flow, calendar permissions, and free/busy working end-to-end. Archive mailboxes preserved. Out-of-office settings intact. The things people actually notice when migrations go wrong.

File shares migrated to SharePoint or OneDrive with permissions translated thoughtfully — not just copied byte-for-byte, but redesigned where the old permissions reflected a structure no one defends anymore. Microsoft Teams deployed where it makes sense, and the on-premises environment either retained as a hybrid endpoint or decommissioned cleanly.

And the part that often gets skipped — a usable training plan for your users. Most M365 adoption problems aren't technical. They're that nobody told people why OneDrive is different from a network drive, or why Teams is replacing the file share they've used for a decade.

How it goes

A · Plan
Inventory and design

Weeks 1–4. Inventory everything that needs to move — mailboxes, public folders, shared mailboxes, distribution lists, file shares, dependencies. Choose the migration path. Design the tenant — domains, identity, mail flow. Resolve the questions that always come up but nobody wants to ask: who owns the public folder hierarchy, what happens to the legacy distribution lists, which file shares are still in use.

B · Pilot
Move a small group, learn

Weeks 5–7. Move a small pilot group — usually 20–50 users including a mix of roles. Validate mail flow, free/busy, mobile devices, Outlook profiles, every edge case that only surfaces in production. Tune the process based on what we learn. The pilot exists to make the main migration uneventful.

C · Migrate
Move in waves

Weeks 8–16. Migrate the rest of the organization in waves — usually 100–500 users per week, scheduled by department to minimize disruption. File shares migrate in parallel via SharePoint Migration Tool. VIPs and executives go last, when the process is most refined.

D · Cutover
Finalize and clean up

Weeks 17–20. Switch DNS records to Microsoft 365. Finalize mail flow. Decommission the on-premises environment if that's the plan, or keep it running as a hybrid endpoint if not. Confirm everything is working from the user side — not just the admin side.
